Newlines Salon Administrator helps you keeps track of your valuable clients and their history including record cards, scheduled appointments, products and services with barcoding, sales and purchases, stock takes, consumables (salon-use products), stylists, their commissions and much more. Once Salon Administrator is integrated with a cash drawer, barcode scanner and receipt printer, you will have complete control over your salon. This system will answer all your questions like for example ‘What are my overheads ?’ or ‘How much money am I actually earning when I do a service ?’ or ‘What products do I currently have in stock and what is the global value ?’. Throw away your Rolodex and have all your clients’ information available at your fingertips. Details include Name, Address, Phones, E-Mails, History (all past transactions), Payments, Pending Amounts, Appointments, Client Images (Scalp) and a Record Card (highlighting all Services done). Once all your clients are in, it will be very easy to locate a specific client since you can search with all the fields that are present. Simple and quick.

If you link a scalp camera to our system, you will be able to take snapshots of their scalps (before and after treatment) and post them directly into their record cards. Then you can issue a professional report with your findings, recommendations and even their own photos (of their scalps).

Keep track of all the services that are being done by your clients. Here you will take note of the service (whether Hair, Beauty or Nails) and list the entry complete with your remarks. This way, you can always check what was done, when and what’s next to be done for that particular client. You can also print out the record (on a receipt printer) for the stylist before the client arrives. This way, all the preparatory work can be done in advance and your client will be impressed with the level of service that you are giving.

Input all the products you import or purchase locally into your database. Define the code, Groupings (Brand, Line, Type, Usage, Size), Default Supplier and his Product Code, Re-order levels and quantities, Selling Prices and Barcodes. Here you can also have multiple barcodes for the same product. This way you will always reference the correct product that you have in stock.

Once you have all your products in the database, you can quickly and efficiently sort and group them by various criteria. For example, you may want to see all your products listed first by Brand and then by size. You may want them grouped by Supplier or by Type or Usage of Product. It’s all very easy to do within Salon Administrator.

Transform your manual or printed price list and create your services in Salon Administrator. Details include the Service Code, Group, Category (e.g. Hair, Beauty, Nails), Service Cost, Selling Price, Service and Process Time (used when scheduling an appointment) and a Barcode. All these details will help you properly define the properties of your services and retain complete cost information that will provide you with a complete picture.

Yes, a barcode ! Once you have created all your services, simply select them all and click on ‘Print Barcodes’. This will generate an A4 sheet of all your Services complete with barcodes. Then, when dealing with a cash sale, all you have to do is scan your Products and your Services (from this sheet). This barcode will hasten multiple processes within your operations like for example when selling a service, locating a service or even making an appointment for a client requesting certain services. Simple, fast, efficient.

Within Salon Administrator, you can define your different stylists and beauticians and even control the way they work. Through this control, you can dictate which services each person is allowed to perform and the system will not allow the person to sell the service if barred. Price control per stylist and service is also done through this control. Last but not least, this is where you choose a calendar colour per each stylist and assign their calendar priority.




Appointments

Newlines Salon Administrator has a very powerful Appointment Scheduler Module that you can simply plug into the main system. This will allow you to make appointments for your clients with ease. Armed with a barcode scanner, simply click on the patient, choose the date and time and simply scan the services being booked. Then assign the stylist to perform each booked service.

Each appointment will post an entry in each client’s individual record card for easy retrieval. You can drag-and-drop appointments and you can modify details as long as the appointment is still due. Once completed, simply click on the appointment and generate the cash sale with full details. Wait for payment and post your sale. Easy.




Cash Sales

All you need here is your clients name or reference and a barcode scanner in your hand. Then simply scan the products and services that the client purchased. The total will be drawn up for you and upon payment, the change due will also show. The cash sale also allows multiple types of payments (cash, cheque, voucher etc…) even within the same cash sale. If credit is permitted, pending details will be posted to the clients account and you will be automatically reminded next time you select that particular client. The concept here is to ensure fast and efficient billing.

Naturally, Salon Administrator hosts a number of ready-made standard reports such as the Cash Till at end-of-day, the Sales Report (divided by Services and Products illustrating the profit margins established on both), Consumables Report, Purchases from Suppliers, Pending Payments from Clients, VAT Analysis etc… On the other hand, it is very easy to compile your very own set of reports since you have access to all the fields within Salon Administrator. Once done, you can also chart your reports. As an added bonus, you can always export your data and output to standard file formats like .doc, .docx, .xls, .xlsx, csv, html, xml etc… or simply e-mail your report directly. How’s that for convenience ?
